The short version
- We use your documents to create the report you request.
- DwellCheck may keep a private temporary document copy for up to 24 hours so an interrupted review can recover. It is normally deleted sooner after completion, failure or cancellation.
- Reports stay linked to your account until you delete an unlocked report or delete your account, subject to limited legal obligations. Locked previews remain in your library so the limited free allowance cannot be lost accidentally.
- We may retain de-identified learning signals for a limited time to improve accuracy and safety.
- We do not sell your personal information.
Information we process
Depending on how you use DwellCheck, we may process:
- your account name, email address, account identifier and sign-in provider;
- property documents you choose to upload;
- property addresses, document facts, findings, scores and generated reports;
- purchase, entitlement and free-preview records;
- a device-specific push token when you enable report-ready notifications;
- support requests and messages you send us; and
- limited device, security, reliability and product-usage information needed to operate and protect the service.
Property documents can contain information about other people, including owners, vendors, purchasers and advisers. Only upload documents you are authorised to use. We do not use the information in those documents to contact those people.
How we use information
We process information to:
- authenticate and secure your account;
- analyse uploaded documents and create structured findings, comparisons, scores and reports;
- restore reports, purchases and access entitlements;
- notify you when a requested report is ready;
- operate free-preview limits and prevent misuse;
- provide support and investigate reliability issues;
- protect users, DwellCheck and our systems; and
- improve rule matching, risk calibration, wording and product safety using the limited records described below.
We do not sell personal information or use uploaded property documents for third-party advertising.
Document and AI processing
Documents selected in the app are sent securely to the DwellCheck backend and to our configured AI service provider to produce structured findings. DwellCheck then applies its own knowledge, validation and scoring rules to those findings.
DwellCheck may keep a private temporary copy of a selected document for up to 24 hours so a review can recover from an interruption. The copy is deleted sooner after the review completes, fails or is cancelled. DwellCheck requests that its AI provider does not store generated response application state, but the provider may retain limited data for security or legal purposes under its applicable terms. Keep your original files because DwellCheck is not a document vault.
Service providers and overseas processing
We use providers for cloud hosting, databases, authentication, AI processing, notifications and payments. These may include AWS, Supabase, OpenAI, Expo, Apple and Google where relevant.
Those providers may process information outside New Zealand. We use providers for the services they supply to DwellCheck and require appropriate privacy and security safeguards for personal information they handle. We remain responsible for describing how DwellCheck uses and shares your information.
Reports, learning signals and retention
Generated reports and purchase entitlements remain associated with your account until you delete an unlocked report or delete your account, subject to records we must retain by law. Locked previews remain in your library to protect the limited free allowance from accidental loss.
We retain a minimal Apple purchase record, such as the transaction identifier, product, purchase time and entitlement outcome, to restore access, prevent the same transaction being reused and meet accounting or legal obligations. If the related account or report is deleted, this record may be retained without the deleted account or report link.
Notification delivery receipts may be retained for up to 30 days to diagnose delivery failures and disable invalid device tokens.
To improve DwellCheck’s accuracy and safety, we may retain de-identified finding signals, short redacted evidence snippets and coarse statistics—such as city, document mix and score band—for up to 24 months. These improvement records are designed not to contain full documents, exact property addresses, account IDs or contact details.
Free-preview misuse prevention
To prevent repeated free previews being obtained by deleting and recreating an account, DwellCheck keeps a short-lived keyed fingerprint derived from the account email and the date the preview was used. The fingerprint does not contain the email, is not linked to documents or reports, is not used for marketing and expires when the free-preview cooldown ends.
Deleting reports or your account
Deleting an unlocked report cancels active processing for that property and removes the report, temporary upload and associated access from your account. Locked previews cannot be deleted from the normal Reviews library, but deleting your account removes them with the rest of your account-linked data. De-identified improvement records may remain for the limited period described above.

Security
We use access controls, encrypted network connections, restricted administrative access, private backend credentials and data-minimisation controls designed to protect personal information. No online service can guarantee absolute security.
If we become aware of a privacy breach that has caused or is likely to cause serious harm, we will follow applicable New Zealand notification requirements.
Your privacy rights
You may ask whether we hold personal information about you, request access to it, ask us to correct it, or request deletion where applicable. You may also raise a privacy concern with the Office of the Privacy Commissioner in New Zealand.
DwellCheck is intended for people aged 18 or older and is not designed for children.
